MSE room booking resources and guidelines

Some of you might have been frequently using Web Room Booking (WRB) but some might be new to it, so we have provided this guide. You may request  ad-hoc bookings for specific MSE teaching spaces that are not bookable by people outside MSE.  These rooms are:

  • PC labs
  • Informal study spaces

This is in addition to all the bookable University spaces.

Computer Labs

All computers in MSE owned rooms are only available to the School's staff and students. Anyone who is not a member of the School will not be able to log in. Bookings for these rooms can only be made for:

  • Subject based ad-hoc classes
  • Department use where there are no external participants

We frequently get requests from both within the University as well as externally for PC labs for software training. Any request you receive for these rooms from outside MSE (or which include non-engineering participants) must be forwarded to our team. We will check the request and if appropriate vet the proposed software licencing rules to ensure we are not breaching conditions or impacting on the use of software to students in other classes.

Requests from student clubs should be directed to Beth Hunter in Student Enrichment or MSE's Facilities team. There are certain booking conditions for specific clubs which must be adhered to. Beth ensures that these are communicated to the new committees every year.

Note that for MSE spaces listed on the SWS wimetable but not showing up via WRB, you will need to submit a request form here and one of our team members will contact you. Be sure to check SWS in advance for room capacity and availability before deciding on a room.

Other points to note:

  • MSE computer labs offline – these are now University shared flat-floor tutorial spaces
    • PAR-Alice Hoy-108
    • PAR-Alice Hoy-109
  • EDS3 & 4 are set up as computer spaces for 32 students.  It is recommended that groups are no larger than 36 people to ensure an optimal learning experience and that the climate control system can cope. These spaces can also be used for problem-based learning.
  • EDS5 is now a technical hardware lab. While typical problem-based learning classes can be booked into this space, priority is given to those requiring technical hardware.

Please remember that no food or drink is allowed for spaces with computers or any hardware. If you are arranging a morning or afternoon tea, please ensure to use a breakout space or locate your bookings near a breakout space. Please see list of spaces you will be able to book with food & drinks permissions.

Failure to adhere to booking terms and conditions will result in charges for damages or extra cleaning using the Themis string you provide when submitting the request form.
