Complete the 'other ethics clearance' screen

Learn how to compete the screen

You must record details of all Australian HREC’s that your project has been, or will be, submitted to. Complete this screen if you indicate in the research checklist that your project includes the following:

  • locations other than or in addition to the University of Melbourne
  • approvals (non ethics) needed from external organisations
  • already has or requires other ethics approval
  • involves personal information obtained from government department or NGO
  • data has been collected previously for another purpose
  • involves health, personal or sensitive information
  • multiple ethical reviews of research
  • likely participants of social groups with special needs
  • likely ATSI participants
  • likely participants requiring consent of leaders/elders

You must forward a copy of any approvals that have already been received to the HEAG. This can be a hard copy or electronically. This will be reviewed with your application.

To complete the other ethics clearances screen:

  1. Specify the other ethics clearances you require, by clicking on the appropriate radio buttons. If you indicate that you require clearances, you will need to complete additional fields. If you do not require ethics clearances, go to step six.
  2. Identify the HRECs from which you need to seek ethics clearances, by selecting the appropriate response from the drop-down list. If you have not identified the HRECs, go to step six.
  3. Enter the details of your ethics clearance by selecting the ‘add ethics clearance’ button. The clearance details table will display. Complete the clearance details.
  4. Click on the ‘add ethics clearance button’ and complete step two for all clearances you require.
  5. Use the drop-down list to indicate which HREC had or will have prime responsibility for monitoring your research. This list will include all of the HRECs that you indicated in the table above.
  6. Use the comments field to record any overall comments relating to the ethics clearances you require for your research project. If your application is a transfer of ethics clearance, enter the reason for the transfer in this field.
  7. Click on the ‘next’ button to proceed to the next screen.

Responsible researchers will still have access to update ethics clearance details as required after you have submitted the application.

Registration number assigned by institution Enter the registration number associated with the clearance (if known)  
Date clearance granted Enter the date the clearance was granted Use DD-MMM-YYYY format.
Period of approval Enter the start and end date that the clearance applies to Use DD-MMM-YYYY format.
Special conditions Select ‘yes’ or ‘no’ as to whether special conditions have been attached to the clearance  
Comments Enter any comments relating to the clearance
